v0.1.4 — Privacy Controls, Clearer Consent at Registration, and Practice Video Deletion Reminders
September 29, 2026
Everyone can now download their data, request account deletion, and choose which emails they get from a new Privacy tab. Registration now asks for guardian and medical-sharing consent, and studios get warnings and email reminders before practice videos are deleted.

What's New
Studio Owners/Managers
- Close Studio — A new card at the bottom of Studio Settings lets you download all your studio data and request that your studio be closed.
- Download Studio Data — Saves a copy of your roster, households, classes, charges, registrations, and waivers in one file.
- Consent on registration requests — Each request now shows whether a parent or guardian confirmed, whether medical sharing was agreed, and when.
- Unsubscribe links on announcements — Communications Hub emails now end with your studio name, a mailing address, and an Unsubscribe link. People who unsubscribe are skipped on future sends from your studio. Invoices, receipts, and invites still reach them.
- Practice video deletion warnings — If Studio Premium or the Practice Videos add-on ends, Media Hub shows Practice Videos Locked with the date your videos will be permanently deleted. You also get emails 7, 3, and 1 day before deletion.
- Card number warning — If something that looks like a card number is typed into household notes, reference numbers, or the Mark Paid dialog, you'll see a warning asking you to remove it.
Teachers
- Parent Contact card — A dancer's profile now shows a parent or guardian's name, email, and phone in a Parent Contact card, along with emergency contacts and medical notes. Home and billing addresses, balances, and payment details stay with the studio.
Families/Dancers
- Privacy tab — Go to Profile → Privacy to download your data, request account deletion, or turn product news emails on or off.
- Registration consent — When registering with a studio, you now confirm you are the dancer's parent or guardian (or the dancer, if 18 or older). If you add Medical Notes, you also agree that the studio and its teachers can see them.
- Unsubscribe from studio announcements — Each studio announcement email has an Unsubscribe link that stops announcements and newsletters from that studio only.
Everyone
- Sign-up checkboxes — New accounts confirm they are 18 or older (or a parent or guardian) and agree to the Terms and Privacy Policy. Getting SmartScore Pro product news is now opt-in.
- Updated Terms and Privacy Policy — Both were updated, effective September 28, 2026. Signed-in users will see a banner at the bottom of the app asking them to review the changes and click I Agree.
Improvements
- If everyone in the groups you picked has unsubscribed, a Communications Hub send now stops with a message saying so, instead of "No recipients found."
- The Practice Videos add-on now lists the 120-day video limit and the 14-day deletion window after the add-on ends.
- If you manage more than one studio, each studio's Practice Videos add-on is billed as its own line on your Studio Premium subscription.
- The AI import box now reminds you to leave out medical notes, addresses, and contact details.
- Several studio screens fit phones better, including the Waivers header and the monthly tuition charge button.
- Search results in the studio header are easier to read on the highlighted row.
Action Needed
- All users: Review the updated Terms and Privacy Policy and click I Agree on the banner the next time you sign in.
- Studios recording cash or cheque payments without Stripe connected: Those payments are only recorded in SmartScore Pro. Download a copy at least once a year from Studio Settings → Download Studio Data.
How To Use New Features
Download Your Data or Delete Your Account
For any signed-in user.
- Open Profile and choose the Privacy tab.
- Click Download My Data to save a copy of your profile, dancers, household accounts, charges, registrations, and waiver signatures.
- To delete your account, optionally add a reason, then click Request Account Deletion and confirm.
- You'll get an email confirming the request. The tab shows the date the request will be completed by.
Studio owners must close or transfer their studio before deleting their account. Full guide: /docs/get-started/privacy-data
Close Your Studio
For studio owners who are leaving SmartScore Pro.
- Go to Studio → Settings and scroll to Close Studio.
- Click Download Studio Data and keep the file somewhere safe.
- Optionally add a reason, click Request Studio Closure, then confirm.
- You'll get an email confirming the request, and the card shows the date it will be completed by.
Closing cannot be undone. Dancer contact, medical, and sizing details are deleted, and teachers and families lose access. Invoices and payment history are kept. Full guide: /docs/studio/setup#close-your-studio
Keep Your Practice Videos When Your Add-On Ends
For studios using Practice Videos.
- If Studio Premium or the Practice Videos add-on ends, Studio → Media Hub shows Practice Videos Locked with a deletion date.
- Click Go to billing — Practice Videos.
- Turn the Practice Videos add-on back on before the deletion date.
- Media Hub unlocks and families can watch again.
Videos are deleted permanently 14 days after the add-on ends. Each video is also removed 120 days after upload, even while the add-on is active. Full guide: /docs/studio/communications-media
v0.1.3 — Payment History, Refunds, Needs Attention, and automatic monthly tuition, all inside SmartScore

Studios can now review invoices, issue refunds, and follow up on declined payments without leaving SmartScore. Monthly tuition can post and charge saved cards automatically, and families can save their own card. This release also adds a Practice Videos add-on for families, a live status strip on competition sites, and a home screen app for phones.

- Payment History and Needs Attention tabs in Customer Payments let you review invoices, issue refunds, void invoices, and follow up on failed charges in one place.
- Tuition Automation can post monthly tuition and charge families' saved cards every billing period.
- Families can Save Card, Update Card, or Remove Card themselves, and studios can email a save-card link.

What's New
Studio Owners/Managers
- Payment History tab — Search and filter every invoice by household and date, open the details, and download the invoice or receipt.
- Refunds — Refund a paid invoice to the original card, as account credit, or both.
- Void and delete — Void an open invoice so the family can no longer pay it, or delete a draft. Any account credit set aside for that invoice is released automatically.
- Needs Attention tab — Lists declined cards, payments that need authentication, households with no card on file, past-due invoices, and failed payments. From each row you can Retry charge, Resend invoice, or Mark paid offline. A red badge on the tab shows how many items are open.
- Tuition Automation — Turn on Auto-Charge Tuition Monthly in Studio Settings. Each billing period, SmartScore posts unpaid tuition and then charges each household's saved card. Declined charges show up on Needs Attention.
- Exclude From Auto-Charge Tuition Monthly — A per-household switch to leave a family out of automatic charging.
- Tuition Discount Rules — Set automatic sibling and multi-class discounts in Studio Settings. They apply on family statements and when you post tuition. This setting was previously marked "Coming soon."
- Email Save-Card Link — From a household's billing tab, email the family a secure link to save a card. The link is also copied to your clipboard.
- Balance & Deposits — Payment Setup now shows your available and pending balance, your last payout, and your next deposit. Customer Payments shows a shorter version at the top.
- Customize your Studio Hub — Click Customize on the Studio Hub to show, hide, and reorder sections, At A Glance cards, and Quick Access links. The Hub also has a new Needs Attention card.
- Practice Videos add-on — Upload practice videos to classes so families can watch them from their portal. Turn it on from My Profile → Billing & Tiers → Add-ons. It requires Studio Premium.
- Attachments in class emails — Email Class now lets you attach files.
Competition Organizers
- Live Session Status strip — When Show Session Display is on, a live strip appears right under the hero image on your public site. A new Live status shows setting lets you choose between showing only the session name or the specific routine and studio.
- Event info strip and contact section — Your public competition page now shows Dates, Location, and Admission under the hero image, plus a Questions? section with a Contact Organizer button. Studio public pages use the same info strip.
- Recording downloads — In on-stage adjudication, once a routine is recorded you can Download a copy or Open Media Hub. If you record again, earlier takes are kept in Media Hub.
- Judge microphones follow the routine — The microphones assigned to a routine's judges now switch on automatically for that routine.
Families/Dancers
- Practice Videos — A new Practice Videos page in the Family Portal plays the videos your studio shares, when your studio has the add-on.
- Save your card — In Payments & Billing, use Save Card or Update Card to keep a card on file with your studio, or Remove Card to delete it.
Everyone
- Install the app on your phone — SmartScore can now be added to your phone's home screen and opens full screen. An Add SmartScore To Your Home Screen prompt appears on phones and tablets. You can reopen it any time with the download icon in the top bar.
- New help guides — The docs have been rebuilt with guides for each role and a Search docs… box.
Improvements
- Sending email to many families now shows a progress window that you can minimize while it runs.
- Custom invoices can now go to households that have no dancers linked.
- Charging tuition for a single household finishes right away instead of waiting behind other charge runs.
- Confirmation reports now include classes with no tuition, so families see their full enrollment.
- Stripe customer on the household billing tab has been renamed Payment Profile and now shows the card on file.
- All charge confirmations now use the same confirm word: CHARGE. This includes custom invoices and marking charges paid.
- Registration Requests and Media Hub now appear in the studio sidebar.
- On phones, workspace search opens from a button in the top bar, and page layouts respect screen notches.
- Routines on an organizer's studio detail page are now split into pages.
- Headings and menu labels across the app now use consistent capitalization.
Fixes
- Fixed the public site's "now performing" status sometimes showing On Break while a routine was being scored.
- Fixed the AI Standings Assistant failing on competitions with a large number of standings entries.
Action Needed
- Studio email broadcasts now require Premium. Sending or scheduling emails from the Communications Hub needs Studio Premium, which includes up to 2,000 recipient emails per month. Studios on the free plan will see an upgrade prompt.
- Practice Videos is now an add-on. Studios that want to upload practice videos need Studio Premium and the Practice Videos add-on, found under My Profile → Billing & Tiers → Add-ons.
How To Use New Features
Refund Or Void An Invoice
For studio owners and managers who take payments through SmartScore.
- Go to Customer Payments → Payment History.
- Find the invoice by household, date, or search, then click the row to open its details.
- Open the row menu (…) and choose Refund… or Void invoice….
- For a refund, choose Refund to card, Issue account credit instead, or Card refund and account credit. Then click Confirm refund.
- The invoice status updates in the list. Account credit appears in the household's wallet.
Voiding only works on invoices that haven't been paid yet. Drafts can't be voided, so use Delete draft… for those.

Follow Up On Failed Payments
For studio owners and managers.
- Go to Customer Payments → Needs Attention. The red badge shows how many items are open.
- Filter by household if needed, and click a row to see the reason and amount.
- Choose Retry charge, Resend invoice, or Mark paid offline.
- For Mark paid offline, pick the payment type and effective date, then confirm.
- The item leaves the list once it's resolved.

Turn On Tuition Automation
For studios that want tuition posted and charged every month without running it by hand.
- Go to Studio Settings and scroll to Tuition Automation.
- Turn on Auto-Charge Tuition Monthly.
- Click Save tuition automation.
- To leave a household out, open its billable account and turn on Exclude From Auto-Charge Tuition Monthly.
- Each billing period, tuition is posted and saved cards are charged. Households without a card, or whose card is declined, appear on Needs Attention.
Account credit is applied automatically only when Always apply credits is on for that household.
Get Families To Save A Card
For studio owners and managers.
- Open Billable Accounts / Parents and choose a household.
- On the billing tab, find Payment Profile. If the household doesn't have one yet, click Set up payment profile first.
- Click Email Save-Card Link. The household needs a primary email on file.
- The family opens a secure page and saves their card. It then shows under Payment Profile.
Families with a login can also save a card themselves under Payments & Billing → Save Card.

Turn On Practice Videos
For Premium studios that want to share class videos with families.
- Go to My Profile → Billing & Tiers and scroll to Add-ons.
- On the Practice Videos card, add the add-on and confirm.
- Open a class and upload videos in its Practice Videos section.
- Families see the videos on Practice Videos in their portal once processing finishes.
Show What's Performing On Your Public Site
For competition organizers.
- Open your competition's public site settings and go to Feature Toggles.
- Turn on Show Session Display.
- Under Live status shows, choose Session name only or Specific routine.
- Save. During scoring, a Live Session Status strip appears under the hero image. It shows On Break when nothing is being scored.
Fill in admission prices in your event details. Otherwise the info strip shows Free Admission.

v0.1.2 — Clearer billing, split payments, and a better organizer hub

Studio managers can split fees across households, record cash or cheque payments (including partial), and use season-based tuition. Organizers get circuits, org payment setup, and a refreshed hub for onboarding and past events.
This update makes family billing more flexible and gives organizers a clearer home base for running one event or a whole tour.
For studio managers
Split a dancer’s fees across households
Some dancers are billed by more than one family. You can now set a billing split so each household only owes their share.
How to set it up
- Open Billable Accounts / Parents and go to the dancer’s home account.
- Open the Dancers tab.
- Click Edit billing split.
- Add the other household(s) and set each Share %.
- Make sure the total is 100%, then save.
New tuition and fee charges will split automatically. Look for a Split · X% badge so it’s clear whose share is whose.
Tip: This applies to new charges — it doesn’t change older ones.
Record cash or cheque payments (including partial)
Mark charges paid when money came in outside the app — cash, cheque, e-transfer, and more. You can also take a partial payment and choose what happens to the rest.
How to mark a payment
- Go to Customer Payments, or open the household’s billing panel.
- Choose Mark paid / Mark paid offline.
- Enter the Amount paid (full balance, or less for a partial).
- If it’s partial, pick what to do with the remainder:
- Leave balance open
- Charge card on file for remainder
- Send invoice for remainder
- Add the date, payment type, and optional notes or reference number.
- Review the summary and click Confirm.
Customer Payments, in one place
Customer Payments is your hub for:
- monthly Tuition
- Competition & Costume Fees
- Other Fees (custom invoices)
Preview charges, then collect by card, invoice, scheduled charge, or offline payment. Split billing shows up in the preview when you’ve set it.
Season-based tuition
If a class only runs for part of the year, attach it to a billing season. Tuition posts only in those months. Year-round classes keep billing while the dancer is enrolled.
How to use seasons
- Go to Classes → Seasons and set your season dates.
- On each class, choose Billing season (or Year-round).
- When you charge tuition, check any notice about classes skipped because they’re outside their season.
Dancers stay enrolled even when that month is skipped for billing.
Teachers and assistants together
Teachers / Assistants is now one page for inviting and managing both roles. The old Assistants link takes you there automatically.
Clearer menu names
- Billable Accounts / Parents — who gets billed

For competition organizers
Circuits (optional tours)
Group related events into a circuit — for example a tour with several stops. Circuits are optional; standalone events still work the same way.
How to create a circuit
- Open Circuits from the sidebar (or More → Circuits on the hub).
- Enter a name (for example, “2027 National Tour”) and click Create circuit.
- Expand the circuit and Add stop to attach events.
- Rename, archive, or restore circuits anytime. Use Show archived to find older ones.
Organization payment setup
Connect one bank account for your organization. Registration payouts for events under that org use it.
How to connect
- Open Payment setup.
- Click Connect with Stripe and finish the prompts, or
- Choose Import from an existing event if you’ve already connected elsewhere.
- Confirm your organization shows as connected.
Mark studio registration paid by hand
When a studio pays you outside the usual online invoice, you can mark registration paid from that studio’s billing page.
How to do it
- Open the event, then that studio’s billing page.
- Review the fee total.
- Optionally Send payment invoice if you still want a record emailed.
- Click Mark as Paid Manually after you’ve received payment.
- Status becomes Paid.

- Choose which organization you’re viewing when you belong to more than one

New Release
What’s new
This release expands SmartScore’s studio billing tools and makes day-to-day studio management smoother. It adds clearer GST handling, support for family account credits, new invoice and payment portal flows, and better tuition and fee collection options.
Highlights
Billing is now more flexible and easier to understand
- GST is now shown and applied more clearly across tuition, costume fees, competition fees, and custom invoices.
- Confirmation reports and fee reports now better distinguish between:
- list price
- GST
- total amount due
- Customer-facing emails and invoices have been updated to reduce confusion between SmartScore totals and Stripe totals.
New family account credit support
- Studios can now keep a credit balance on a family account.
- Credits can be applied during collection to reduce the amount a family owes.
- Unused credit carries forward automatically.
- This gives studios more flexibility for discounts, goodwill credits, and adjustments.
More payment collection options
Studios can now choose from more ways to collect payments:
- charge card on file
- email a payment link
- send an invoice now
- send an invoice and schedule collection later
- mark a payment as paid offline
New Stripe customer portal flow
- Studios can now email families a Stripe Customer Portal login link when needed.
- This makes it easier for families to update payment details or review billing information.
- The experience is clearer for both studios with direct family logins and studio-managed accounts.
Better studio navigation
- A new search box helps staff find pages, people, classes, and actions faster.
- Scroll position is now preserved more consistently when moving around the app.
- Navigation labels and layout behavior have been cleaned up to make the app feel more polished.
Improved import and setup tools
- Large imports now run in safer chunks with progress tracking.
- Class, billable account, and billing-related import workflows are more robust.
Simple walkthroughs
Collect tuition with a family credit
- Open the billable account and adjust credits from their credit wallet.
- Open the household or tuition collection screen.
- Review the amount due.
- If the family has a credit balance, choose how much credit to apply.
- Confirm the charge.
- The remaining balance is collected through the selected payment method.
Send an invoice now and collect later
- Open the customer payment flow.
- Choose Send invoice or Send invoice & schedule charge.
- Review the household and charge details.
- Send the invoice email.
- If scheduling is enabled, SmartScore will collect it later based on the selected date and Stripe setup.
Manage a family’s Stripe billing access
- Open the family’s billing panel.
- Make sure Stripe Customer Portal is enabled for the studio.
- Email the portal link to the family, or have them sign in directly if they use family login.
- The family can then manage their billing details in Stripe.
Notes
- This release includes a large number of internal changes, especially around billing, invoicing, and data safety.
- Some of the work is infrastructure-focused and won’t be visible to end users, but it supports the new billing features and makes the product more reliable.
